The enterprise CRM platform with near-limitless customization, compared with a fast, focused CRM you can set up in an afternoon.

The short answer

Salesforce Sales Cloud is the right choice for mid-market and enterprise teams with complex processes, territories, strict governance and admins or partners to configure it — its custom objects, Apex, Flow and AppExchange ecosystem are unmatched. Exa is for teams that want to be productive quickly with SMS, WhatsApp, AI voice calls, quotes and invoices and messaging compliance already included, and without a customization project.

Key differences

How Exa and Salesforce differ

Platform vs. product

Salesforce is a platform you shape around your business: custom objects, Apex code, Flow automation, role hierarchies and sharing rules, extended by thousands of AppExchange apps and a large partner ecosystem. That flexibility is why large organizations choose it — and why many deployments involve admins or implementation partners. Exa is a finished product with opinions: leads convert to contacts, companies and deals; pipelines, inbox, automations, analytics and AI work out of the box; you customize with fields, stages, templates and automations rather than code.

Messaging and voice

Salesforce’s help documentation places SMS and WhatsApp messaging in a digital engagement add-on on the service side, and Agentforce Voice is an add-on to Service Cloud. Exa includes two-way SMS from your Twilio numbers, WhatsApp through the Business Cloud API, email and AI voice calls via Vapi in its sales inbox, with an AI receptionist that can answer, qualify and book inbound callers.

AI with confirmation

Agentforce agents can take actions, and admins can require user confirmation per action. In Exa, confirmation isn’t a setting: every write the assistant proposes — creating records, moving deals, sending messages, booking appointments, building automations — becomes a card that a person with the right permission must confirm.

Compliance defaults

Salesforce supports per-channel messaging consent and STOP opt-outs within its messaging products. Exa enforces consent, STOP/START/HELP keywords and quiet hours in the recipient’s time zone on the server for every SMS and call, and applies WhatsApp’s 24-hour rule, without extra configuration.

Quotes and billing

Sales Cloud includes products, price books and quotes, with billing in Salesforce’s separate Revenue Cloud products. Exa includes quotes customers accept with a typed-name e-signature, one-click invoices and QuickBooks Online sync, but it doesn’t process card payments.

Making the call

Which one should you choose?

When to choose Salesforce

  • Your sales process needs custom objects, complex approval flows, territories or code — Exa has custom fields but no custom objects or code.
  • You need AppExchange and a large partner ecosystem — Exa has focused native integrations plus an API and webhooks.
  • You need enterprise governance such as role hierarchies, sharing rules and field-level audit trails.
  • You want sales, service, marketing and commerce on one platform, with admins or partners to run it.
  • You need CPQ or billing at enterprise scale through Salesforce's revenue products.

When to choose Exa

  • You don't have a Salesforce admin and want pipelines, inbox, automations and AI working on day one.
  • You want two-way SMS and WhatsApp in the CRM inbox without adding a service-side messaging product.
  • You want an AI receptionist (via Vapi) to answer inbound calls, qualify callers and book appointments.
  • You want consent, STOP/START/HELP and quiet hours enforced on every send by default.
  • You want quotes with e-signature acceptance, invoices and QuickBooks Online sync built into the CRM.

Migration

Switching from Salesforce to Exa

Salesforce's Data Export Service produces CSV files of your data. Import leads and contacts into Exa with column mapping and duplicate handling, then recreate your opportunity stages as an Exa pipeline. Heavily customized objects and Apex logic don't carry over — keep the fields you need as custom fields and rebuild key Flows as Exa automations.

  1. 1

    Export your data from Salesforce

Export the people and companies you want to keep from Salesforce to CSV files. Keep the column headers — Exa uses them to suggest a mapping.

  2. 2

Import with column mapping and duplicate handling

Upload a CSV as leads or contacts, preview the rows and check the suggested mapping (custom fields included — create them first). Choose whether rows that match an existing record are skipped, update it, or are created anyway. Progress, counts and row errors are shown as the import runs.

  3. 3

Rebuild your pipeline and price book

Create pipelines with your own stages, probabilities and rotting rules, then recreate open deals by hand or through the REST API — CSV import covers leads and contacts, not deals. If you send quotes, add your products, services and tax rates to the price book, and connect QuickBooks Online if you use it.

  4. 4

    Reconnect your lead sources

Embed Exa forms on your website, and send leads from other systems to the server-to-server lead API with a scoped API key — a lead with a matching email or phone is updated instead of duplicated. Signed webhooks push CRM events to your own tools.

  5. 5

Connect channels and invite your team

Connect Twilio for SMS, the WhatsApp Business Cloud API, Postmark or SMTP for email, Vapi for AI calls, Google Calendar and QuickBooks Online, then invite teammates as owner, admin, manager, rep or viewer. Exa only texts people with SMS consent (or who texted you first), so plan how you will record consent for imported contacts.

Is Exa a Salesforce alternative?

For small and mid-sized teams that want a ready-made sales CRM, yes. For organizations that depend on Salesforce's customization, AppExchange or enterprise governance, Exa isn't a like-for-like replacement.

Does Exa have custom objects like Salesforce?

No. Exa has leads, contacts, companies and deals with custom fields of many types, but you can't add new object types or write code inside it. It offers a REST API and signed webhooks for integrations.

How do the AI assistants compare?

Salesforce's Agentforce lets admins configure agents and require user confirmation per action. Exa's assistant requires confirmation for every change by design, re-checks permissions before running and logs the outcome in the conversation.

Does Salesforce include SMS and WhatsApp?

According to Salesforce's help documentation, messaging channels such as SMS and WhatsApp come through a digital engagement add-on on the service side rather than core Sales Cloud. Exa includes both in its inbox using your Twilio and WhatsApp Business accounts.

How long does it take to set up Exa?

You can create a workspace, import a CSV of leads and start working the same day. Connecting Twilio, WhatsApp, Vapi, Google Calendar and QuickBooks Online is done in the integrations settings.
