Comparison
Exa vs GoHighLevel
An all-in-one agency platform with funnels, white-label and payments, compared with a focused AI sales CRM.
Last reviewed · Sources
The short answer
HighLevel (often called GoHighLevel) is the broader platform — funnels and websites, email marketing, reputation management, payments, courses and white-label SaaS mode for agencies running many client accounts. Exa is a focused sales CRM — pipelines, a unified inbox, an AI assistant that acts only after you confirm, an AI voice receptionist via Vapi, quotes and invoices with QuickBooks Online sync, and compliance enforced server-side — for teams that want less to set up and maintain.

Key differences
How Exa and GoHighLevel differ
Breadth vs. focus
HighLevel is built to be the one subscription an agency needs: funnels and websites, email marketing, reputation management, courses and communities, payments, and a sub-account for every client, with white-label and SaaS Mode on its top plan. That breadth is its strength. Exa deliberately does less — leads, pipelines, conversations, scheduling, quotes and invoices, automations, analytics and AI — so a sales team can be productive without configuring a marketing suite.
How the AI is kept in check
Both platforms have serious AI. HighLevel’s Ask AI asks for approval before it changes records, while Conversation AI can be set to suggest replies or to run on autopilot. Exa takes one approach everywhere: the assistant’s read tools run instantly within your permissions, and every write — creating a lead or task, moving a deal, sending a message, booking an appointment or creating an automation — becomes a confirmation card. Permissions are re-checked when you confirm.
Voice AI and messaging
Both include AI voice agents for inbound and outbound calls. HighLevel bills phone, SMS, email and Voice AI usage through the platform and offers WhatsApp as an add-on. Exa connects to your own providers — Twilio for SMS, the WhatsApp Business Cloud API and Vapi for voice — so usage is billed by those providers directly.
Compliance
HighLevel supports A2P 10DLC registration, do-not-disturb on STOP and time windows inside workflows. In Exa, compliance isn’t a setting on each automation: consent per channel, STOP/START/HELP keywords, quiet hours in the recipient’s time zone and the WhatsApp 24-hour window are enforced on the server for every send.
Quotes, invoices and payments
HighLevel has estimates, invoices, contracts with signatures, payments through Stripe and other providers, and QuickBooks Online and Xero integrations. Exa covers quotes (accepted with a typed-name e-signature or declined from a hosted link), invoices with due dates and overdue tracking, and QuickBooks Online sync — but it doesn’t take card payments online, and it doesn’t integrate with Xero.
Making the call
Which one should you choose?
When to choose GoHighLevel
- You're an agency that runs marketing for many clients and wants a sub-account for each.
- You want to resell the platform under your own brand — Exa has no white-label or reseller mode.
- You need funnels, websites, email marketing, review management or courses in the same tool — Exa offers embeddable forms only.
- You want customers to pay online from invoices, payment links or booking calendars — Exa doesn't process card payments.
- You use Xero — Exa syncs with QuickBooks Online only.
When to choose Exa
- You want a CRM your sales team can learn in an afternoon, focused on leads, deals, conversations and follow-up.
- You want an AI assistant whose every change — a task, a deal move, a message, an automation — waits for your confirmation, with permissions re-checked when you confirm.
- You want consent, STOP/START/HELP keywords and quiet hours enforced server-side on every message and call, regardless of how an automation is built.
- You prefer to connect your own Twilio, WhatsApp Business Cloud API and Vapi accounts.
- You need quotes customers accept with a typed-name e-signature, invoices with overdue tracking and QuickBooks Online sync — without a marketing suite around them.
Migration
Switching from GoHighLevel to Exa
HighLevel can export contacts to CSV (admins only). Import them into Exa as leads or contacts, recreate your opportunity pipelines, and rebuild the follow-up workflows you rely on as Exa automations. Funnels, websites, courses and payment flows stay in the tools that host them — Exa forms can replace lead-capture forms.
- 1
Export your data from GoHighLevel
Export the people and companies you want to keep from GoHighLevel to CSV files. Keep the column headers — Exa uses them to suggest a mapping.
- 2
Import with column mapping and duplicate handling
Upload a CSV as leads or contacts, preview the rows and check the suggested mapping (custom fields included — create them first). Choose whether rows that match an existing record are skipped, update it, or are created anyway. Progress, counts and row errors are shown as the import runs.
- 3
Rebuild your pipeline and price book
Create pipelines with your own stages, probabilities and rotting rules, then recreate open deals by hand or through the REST API — CSV import covers leads and contacts, not deals. If you send quotes, add your products, services and tax rates to the price book, and connect QuickBooks Online if you use it.
- 4
Reconnect your lead sources
Embed Exa forms on your website, and send leads from other systems to the server-to-server lead API with a scoped API key — a lead with a matching email or phone is updated instead of duplicated. Signed webhooks push CRM events to your own tools.
- 5
Connect channels and invite your team
Connect Twilio for SMS, the WhatsApp Business Cloud API, Postmark or SMTP for email, Vapi for AI calls, Google Calendar and QuickBooks Online, then invite teammates as owner, admin, manager, rep or viewer. Exa only texts people with SMS consent (or who texted you first), so plan how you will record consent for imported contacts.

Is Exa a GoHighLevel alternative?
For sales teams and owner-operators who mainly need a CRM, yes. For agencies that need funnels, white-label SaaS mode, reputation management and payments across many client accounts, HighLevel covers more ground and Exa isn't a direct replacement.
Does Exa have a white-label or SaaS mode?
No. Exa supports multiple workspaces with role-based access, but it can't be rebranded or resold.
Can Exa take payments?
Exa sends quotes and invoices with PDFs and hosted customer links, and records payments manually or syncs them from QuickBooks Online. It does not process card payments — there's no pay-now button.
Do both have AI voice agents?
Yes. HighLevel's Voice AI answers inbound calls and can place outbound calls from workflows. Exa uses Vapi voice agents — connect your Vapi account to answer inbound calls, qualify callers, book appointments and place outbound AI calls to people with call consent.
How does each handle texting compliance?
HighLevel supports A2P 10DLC registration, turns on do-not-disturb when a contact replies STOP and offers time windows in workflows. Exa checks consent, opt-outs and quiet hours on the server for every SMS and call, whether it's sent by a person, an automation or the AI.
