Key differences
How Exa and Pipedrive differ
Built-in channels vs. a marketplace
Pipedrive keeps its core focused on the deal pipeline and email, and connects calling and texting through its marketplace of 500+ apps — its own help center notes that calling runs through integrations. Its native WhatsApp integration is in beta. Exa builds those channels in: two-way SMS from your Twilio numbers, the WhatsApp Business Cloud API, email and AI voice calls land in one inbox, threaded per contact, with no third-party app to install.
AI that answers the phone
Pipedrive’s AI focuses on writing, summaries, meeting recording and suggested CRM updates you approve. Exa’s assistant answers questions about your pipeline with charts and record links, and proposes actions — create a task, move a deal, send a message, build an automation — that run only after you confirm. With a Vapi account connected, Exa also answers inbound calls with an AI receptionist that qualifies callers and books appointments, and can place outbound AI calls to people who gave call consent.
Compliance on every message
Pipedrive’s Campaigns add-on tracks email marketing consent with double opt-in and unsubscribe links. Exa enforces messaging rules server-side for every channel and every sender — a rep, an automation or the AI: per-channel consent with stored evidence, STOP/START/HELP keywords, quiet hours in the recipient’s time zone and WhatsApp’s 24-hour window.
Quotes, invoices and accounting
Both products handle quotes. Pipedrive’s Smart Docs creates quotes and proposals with e-signatures, and invoices are created through a connected accounting app such as QuickBooks Online. Exa has its own price book, tax rates, quotes customers accept with a typed-name e-signature, and invoices with due dates and overdue tracking, synced to QuickBooks Online. For collecting card payments, Pipedrive’s marketplace includes payment apps such as Stripe connectors; Exa doesn’t process card payments — it records payments manually or syncs them back from QuickBooks Online.
Prospecting and ecosystem
If you need B2B contact data, Pipedrive’s Prospector add-on provides it; Exa does not include a prospect database or enrichment. Pipedrive’s marketplace is also far larger than Exa’s focused set of native integrations, REST API and signed webhooks.
Making the call
Which one should you choose?
When to choose Pipedrive
- You want a widely used, easy-to-learn deal pipeline and your team works mainly by email.
- You need email sequences and an email campaign tool alongside the CRM.
- You want to pick calling, SMS, e-signature and other tools from a marketplace of 500+ apps.
- You want B2B prospecting data inside the CRM — Exa does not include a contact database or enrichment.
- You need Xero, or online card payments through an existing payments app.
When to choose Exa
- Your leads text back, and you want SMS and WhatsApp threads in the same inbox as email and calls — without extra apps.
- You want an AI receptionist (via Vapi) to answer, qualify and book calls you'd otherwise miss, with transcripts on the lead.
- You need consent per channel, STOP/START/HELP keywords and quiet hours enforced on every send, including automations.
- You want an AI assistant that answers pipeline questions with charts and creates tasks, moves deals or sends messages after you confirm.
- You send quotes customers accept with a typed-name e-signature, turn them into invoices and sync to QuickBooks Online.
Migration
Switching from Pipedrive to Exa
Pipedrive's Export data section exports leads, deals, organizations, people and products to CSV or Excel. Import people and organizations into Exa as contacts (or open opportunities as leads), recreate your pipeline stages, and add your products to the Exa price book.
- 1
Export your data from Pipedrive
Export the people and companies you want to keep from Pipedrive to CSV files. Keep the column headers — Exa uses them to suggest a mapping.
- 2
Import with column mapping and duplicate handling
Upload a CSV as leads or contacts, preview the rows and check the suggested mapping (custom fields included — create them first). Choose whether rows that match an existing record are skipped, update it, or are created anyway. Progress, counts and row errors are shown as the import runs.
- 3
Rebuild your pipeline and price book
Create pipelines with your own stages, probabilities and rotting rules, then recreate open deals by hand or through the REST API — CSV import covers leads and contacts, not deals. If you send quotes, add your products, services and tax rates to the price book, and connect QuickBooks Online if you use it.
- 4
Reconnect your lead sources
Embed Exa forms on your website, and send leads from other systems to the server-to-server lead API with a scoped API key — a lead with a matching email or phone is updated instead of duplicated. Signed webhooks push CRM events to your own tools.
- 5
Connect channels and invite your team
Connect Twilio for SMS, the WhatsApp Business Cloud API, Postmark or SMTP for email, Vapi for AI calls, Google Calendar and QuickBooks Online, then invite teammates as owner, admin, manager, rep or viewer. Exa only texts people with SMS consent (or who texted you first), so plan how you will record consent for imported contacts.

Is Exa a Pipedrive alternative?
Yes — both are pipeline-first CRMs. The main differences are channels and AI. Exa includes two-way SMS, WhatsApp, AI voice calls via Vapi and messaging compliance natively; Pipedrive covers calling and SMS through marketplace apps and offers email sequences and campaign tools.
Does Exa have email sequences like Pipedrive?
Not as a dedicated sequence builder. Exa automations can send emails and texts, wait, create tasks and check conditions, which covers many follow-up cadences, but Pipedrive's sequences and Campaigns add-on are more focused on email outreach.
Can I send quotes and invoices in Exa?
Yes. Exa has a price book with tax rates, quotes with line items, discounts and tax that customers can view and accept with a typed-name e-signature, and one-click conversion to invoices. Payments are recorded manually or synced from QuickBooks Online — Exa doesn't process card payments.
Does Exa have a prospecting database like Pipedrive's Prospector?
No. Exa doesn't include B2B contact data or enrichment. Bring leads in from your website forms, the lead API, CSV imports, calls and inbound messages.
How long does it take to move from Pipedrive?
Most of the work is exporting your data to CSV and mapping columns in Exa's importer, which previews rows and lets you skip, update or create duplicates. Pipelines and open deals are recreated in Exa.
