Exa AI
An assistant that knows your CRM — and asks before it acts.
Ask questions in plain English, get answers with charts and record links, and hand off the busywork. Every change waits for your confirmation.
Ask anything
Your pipeline, in conversation
The assistant searches records, reads timelines, runs analytics and draws charts using tools that are scoped to your workspace and your permissions. Start from the prompt menu or type your own question.

- “Which leads are most likely to close?”
- “Show my pipeline by stage”
- “Which deals are stalled?”
- “What is my revenue forecast?”

- “Compare revenue this quarter vs last”
- “How is the team performing this month?”
Billing
- “Which invoices are overdue?”
- “How much is outstanding right now?”
- “Draft a quote for my newest lead”
Follow-up
- “Who needs follow-up?”
- “What tasks are overdue?”
- “Which new leads haven't been contacted?”
Insights
- “Show my lead funnel”
- “Which lead sources convert best?”
- “How many new leads did we get this week?”
Automate
- “Create an automation that texts new leads within a minute”
- “Notify me when a deal over $10,000 is won”
- “Create a task to call back every lead that replies”
Action hub
Start every day knowing what to do next
The action hub ranks your next best actions — replies waiting on you, new leads nobody has contacted, appointments to prepare for and deals that have stalled — with the reason for each one. The same list powers an optional daily digest email.
- Summaries of any lead or deal with highlights, risks and next steps
- Suggested replies drafted from the conversation history
- Each suggestion links to its record and can be handed to the assistant as a prompt
AI receptionist, powered by Vapi
Never miss another call
Connect your Vapi account and an AI voice agent answers when you can't — day or night. Everything it learns lands in Exa.
- Answers inbound calls with your greeting
- Captures name, contact details and need
- Qualifies budget, timeline and fit
- Checks availability and books appointments
- Saves transcript, recording and summary
- Places outbound AI calls with consent
Completed calls can trigger automations — for example, create a follow-up task for the owner as soon as a qualified call ends.
Safety by design
How confirmations and permissions keep your data safe
Powerful AI is only useful if you can trust it. Exa separates reading from acting and keeps a person in the loop for every change.
- 1
You ask
“Remind me to call Marcus tomorrow at 10.”
- 2
AI reads
Read tools run instantly, within your permissions.
- 3
AI proposes
Write tools create a pending action card instead of running.
- 4
You confirm
Permissions are re-checked, then the action runs and is logged.
Scoped to your workspace
Every tool the assistant uses runs inside your workspace. Records from other workspaces are never visible to it.
Sees only what you can see
The assistant inherits your role. Reps only get answers about records they own or that are unassigned, and tools you lack permission for are not offered at all.
Proposes, never assumes
Creating leads, tasks or notes, updating a lead, moving a deal, sending a message, booking an appointment, drafting a quote or creating an automation becomes an action card you confirm or cancel.
Re-checked at execution
When you confirm, permissions are checked again before anything runs, and the outcome is written back to the conversation.
Viewers can ask, not act
Read-only users can ask questions and see charts. Running actions requires the "execute AI actions" permission.
A record of what happened
Conversations are saved with their tool calls and action results, and record changes appear in the workspace audit log.

Which AI model powers Exa?
The assistant runs on Claude by Anthropic and uses structured tool calls to read and act on your CRM data. If no AI key is configured for a deployment, a built-in rules engine answers the most common questions so the feature still works.
Can the AI send messages or change records on its own?
No. Anything that changes data or contacts a customer is shown as a pending action with a summary. Nothing happens until someone with the right permission confirms it.
Does the AI respect texting rules?
Yes. Messages the assistant drafts go through the same server-side checks as any other send: consent, opt-outs, quiet hours and WhatsApp template rules.
What does the AI receptionist do?
Using Vapi voice agents, it answers inbound calls, captures caller details, qualifies leads with your questions, checks availability and books appointments. Transcripts, recordings, summaries and qualification data are saved to the lead.
Can I place outbound AI calls?
Yes — from a lead or contact, or as an automation step. Outbound calls require call consent from the person being called.
