Comparison

Exa vs HubSpot

A customer platform with marketing, sales, service and commerce hubs, compared with one focused AI sales CRM.

Last reviewed · Sources

The short answer

HubSpot is the better fit if you want marketing, sales, service and commerce on one platform — a free CRM to start, deep marketing tools, Breeze AI agents and a large app marketplace — and you're comfortable adding hubs and tiers as you grow. Exa is a single sales CRM with SMS, WhatsApp, AI voice calls, quotes and invoices, and messaging compliance included, rather than spread across hubs and add-ons.

Key differences

How Exa and HubSpot differ

One product vs. a platform of hubs

HubSpot is a customer platform: a free CRM plus hubs for marketing, sales, service, revenue and more, each with tiers, and AI features that often run on HubSpot Credits. That lets companies start small and add exactly what they need — but which features you get depends on which hubs and tiers you buy. Exa is one sales CRM. Leads, pipelines, the unified inbox, AI, automations, forms, quotes and invoices and analytics are all part of the same product.

Messaging channels

HubSpot has built-in calling with a power dialer, and its help desk brings chat, email, calls, WhatsApp and Messenger together. According to HubSpot’s knowledge base, two-way SMS requires Marketing Hub Pro or Enterprise plus an SMS add-on, and WhatsApp requires Marketing or Service Hub Pro or Enterprise. Exa includes SMS (your Twilio numbers), WhatsApp (Business Cloud API), email and AI voice calls in the CRM inbox. Exa has no dialer for reps.

AI

HubSpot’s Breeze Assistant and agents — including prospecting, customer and data agents — cover a wide surface, with some agent updates approved by users. HubSpot’s customer agent can also answer inbound calls on Pro and Enterprise. Exa’s AI is narrower and uniform: one assistant that reads your CRM within your permissions and proposes every change for confirmation, plus Vapi voice agents for inbound reception and outbound AI calls.

Quotes, invoices and payments

HubSpot quotes draw on a product library, and Revenue Hub (formerly Commerce Hub) adds e-signatures, invoices and online payments through HubSpot Payments or Stripe, with a HubSpot-built QuickBooks Online integration. Exa has a price book with tax rates, quotes customers accept with a typed-name e-signature, invoices with overdue tracking, and QuickBooks Online sync — but no card payment processing.

Making the call

Which one should you choose?

When to choose HubSpot

  • You run inbound marketing — content, email campaigns, landing pages — and want sales and service on the same database.
  • You want to start on a free CRM and grow into paid hubs and tiers.
  • You need a large marketplace of apps, custom objects or a deep partner ecosystem — Exa has focused native integrations, an API and webhooks, and no custom objects.
  • You want to take online payments with quotes and invoices — Exa records payments but doesn't process them.
  • You need a help desk for customer support alongside sales.

When to choose Exa

  • You want SMS, WhatsApp, email and AI calls in one inbox without adding a marketing or service hub to get them.
  • You want an AI receptionist (via Vapi) that answers inbound calls, qualifies callers and books appointments.
  • You want the AI assistant to propose every change as a confirmation card, with permissions re-checked when you confirm.
  • You want quotes customers accept with a typed-name e-signature, invoices with overdue tracking and QuickBooks Online sync in the CRM itself.
  • You'd rather have one focused sales product than a platform of hubs, tiers and credits.

Migration

Switching from HubSpot to Exa

HubSpot exports records to CSV or Excel. Import contacts and companies into Exa (as leads or contacts), recreate your deal pipelines and stages, add your products and tax rates to the Exa price book, and rebuild key workflows as Exa automations. Marketing emails, landing pages and support tickets stay in the tools built for them.

  1. 1

    Export your data from HubSpot

Export the people and companies you want to keep from HubSpot to CSV files. Keep the column headers — Exa uses them to suggest a mapping.

  2. 2

Import with column mapping and duplicate handling

Upload a CSV as leads or contacts, preview the rows and check the suggested mapping (custom fields included — create them first). Choose whether rows that match an existing record are skipped, update it, or are created anyway. Progress, counts and row errors are shown as the import runs.

  3. 3

Rebuild your pipeline and price book

Create pipelines with your own stages, probabilities and rotting rules, then recreate open deals by hand or through the REST API — CSV import covers leads and contacts, not deals. If you send quotes, add your products, services and tax rates to the price book, and connect QuickBooks Online if you use it.

  4. 4

    Reconnect your lead sources

Embed Exa forms on your website, and send leads from other systems to the server-to-server lead API with a scoped API key — a lead with a matching email or phone is updated instead of duplicated. Signed webhooks push CRM events to your own tools.

  5. 5

Connect channels and invite your team

Connect Twilio for SMS, the WhatsApp Business Cloud API, Postmark or SMTP for email, Vapi for AI calls, Google Calendar and QuickBooks Online, then invite teammates as owner, admin, manager, rep or viewer. Exa only texts people with SMS consent (or who texted you first), so plan how you will record consent for imported contacts.

Is Exa a HubSpot alternative?

For the sales CRM, yes — leads, pipelines, conversations, automations, analytics, quotes and invoices and AI are all in one product. Exa doesn't replace HubSpot's marketing tools, help desk or app marketplace.

Does HubSpot have SMS and WhatsApp?

Yes, but according to HubSpot's knowledge base they depend on other hubs — SMS needs Marketing Hub Pro or Enterprise plus the SMS add-on, and WhatsApp needs Marketing or Service Hub Pro or Enterprise. In Exa both are part of the CRM, using your own Twilio and WhatsApp Business accounts.

Which handles texting compliance better?

Both take it seriously. HubSpot supports STOP keywords and SMS quiet hours that are on by default. Exa enforces per-channel consent, STOP/START/HELP and quiet hours on the server for every SMS and call, including automated and AI-drafted messages, and applies WhatsApp's 24-hour rule.

Can Exa take payments like HubSpot?

No. Exa sends quotes and invoices with PDFs and hosted customer links and records payments manually or syncs them from QuickBooks Online, but it doesn't process card payments.

Can I move from HubSpot to Exa?

Yes. Export your records to CSV, then use Exa's importer to map columns (including custom fields) and choose whether duplicates are skipped, updated or created. Recreate open deals in your pipeline by hand or via the REST API.
